Classroom Request

Because the mission of the University of Oklahoma is to teach and promote academic excellence, the educational purpose of the university must be maintained at all times. To avoid conflict with the teaching goals at the university the following guidelines must be followed when using classrooms for performance rehearsals, performances or cultural events or for having events where small children are in attendance:

1. Decorations for performances or cultural events should be kept to a minimum and cannot include such items as paint, glue, glitter or any item which is not easily removed after such an event. Should damage occur to any classroom space which your organization has been assigned, your organization will be responsible for any cost to repair the damage. You will be sent an itemized statement from Custodial Services and payment will be required before any other university classrooms will be assigned your organization.

2. Noise levels must be kept to a minimum during any organization meeting, rehearsal or performance. Student organizations are asked to remember that classes or other meetings may be going on around them. If complaints are received, privileges to use classrooms may be suspended.

NO bands or loud music at any time to avoid disruption of lab animals and/or other activities happening concurrently in the same building.

3. Events where children (especially those under the age of 12) may be in attendance are asked to have adult supervision at all times. Please do not leave children alone in classrooms, halls or restroom facilities. If complaints are received, privileges to use classrooms may be suspended.

4. Food and drinks are NOT allowed in classrooms for any reason.

(A solicitation permit fee payable to the University of Oklahoma will be required for any fundraising events. This fee is $25 for the first day and $2 for each additional day, up to five consecutive days. Non-consecutive days will be charged at a rate of $25 each.)

Any items with the OU logos/University name must have prior approval from the Office of the Vice President for Student Affairs and the OU Licensing Office. Physical Plant Needs:
All requests for tables and chairs, electrical needs, and safety concerns such as traffic control and road blocks need to be directed to the Physical Plant by calling (405) 325-3060 AFTER approval of facility use.

No publicity of the event should take place until approval has been granted for the facility and/or solicitation request. To request permission for campus publicity after approval, please complete the Campus Display Request Form.
Please review all information carefully before submitting your request. A confirmation e-mail detailing your request will be sent to the address you entered at the top of the screen. You will be contacted by e-mail or phone once a decision has been made regarding your event. If your organization does not already have a deposit on file, you will need to bring a $100 check when you pick up your facility and/or solicitation permit at the Student Life Office, Union, Room 370. You will also be contacted with the total amount due for the non-refundable solicitation fee (if applicable). All solicitation fees are due upon receipt of the permit.

All requests are subject to the availability of the facilities, and may require approval through several different departments. Please allow at least ten (10) working days for your request to be processed.

I have read the above information and understand the procedures for reserving a facility and acquiring a solicitation permit. I acknowledge that the timeliness of my request will impact my ability to reserve my preferred location, but that no location or solicitation permit is guaranteed.
